Personal data

Privacy policy

This page explains which personal data we process, why, on what basis, with whom, and how you can exercise your rights. It describes how the site actually works, not how it might work.

What this site does, and what it does not do

The site presents the company. As it stands, it has:

  • a contact form, on the Contact page only, alongside email and telephone;
  • no cookie and no local storage set by the site itself; the form’s anti-spam check may use some on the Contact page, see below;
  • no audience measurement, no tracker, no advertising tool;
  • two third-party services, called only by the contact form, one to route requests and one to check for spam, both described below; fonts and images are served by the site itself;
  • no account, no profile, no automated decision.

These points are checked against the site as actually built, not against an intention. This page is updated before a form, a measurement tool or a third-party service goes live, never afterwards.

When you contact us

The site offers three ways to reach us: the form on the Contact page, email and telephone. The form asks for your name, your organisation, your email address and your message; your telephone number and the subject of your request are optional. By email or telephone, we process the details you use, the content of the exchange and whatever is needed to follow up on your request: your name, your organisation, your sector, the nature of the need and the location of the project, as far as you tell us.

Two legal bases apply, depending on the case. Pre-contractual steps, where your request concerns an offer or an assignment for you. Legitimate interest, where you write on behalf of an organisation: receiving, qualifying and handling a professional enquiry addressed to us.

A contact request is not consent to marketing. We do not reuse your details for commercial communication without asking you separately.

What not to send us through these channels

The form, email and telephone are not suitable for patient data, special categories of personal data, passwords or confidential documents. For an exchange that needs that level of protection, let us make contact first and agree on a suitable channel.

Technical data linked to hosting

The site is hosted on Cloudflare Pages. Like any host, this provider processes technical data to serve the pages and protect the infrastructure: IP address, date and time of the request, resource requested, browser type, security events.

MAJ Solutions does not use these logs for audience analysis and attaches no identifier to them. Exactly what the host logs, and for how long, is covered by the provider’s own documentation.

Contact form: routing of requests

The form on the Contact page is routed by Web3Forms, a service published by Web3Creative, a business registered in Kerala, India, with servers located in the United States. When you send a request, this service receives it and forwards it to us by email at info@maj-solutions.be, with your address set as the reply address: it reaches us as if you had written to us directly, and we read it in our mailbox.

According to its documentation, Web3Forms does not keep the requests it forwards. Its technical logs may contain personal data and are, according to the same documentation, deleted periodically, every two months.

Contact form: anti-spam check

Before sending, an hCaptcha check makes sure the request comes from a person and not from a program. hCaptcha is a service of Intuition Machines, Inc., a company established in the United States. Its script is loaded only on the Contact page, when the form is displayed, and nowhere else on the site. The check is integrated by Web3Forms, which verifies its result before forwarding the request.

For this check, hCaptcha processes technical data, IP address, browser and device information, date and time, and your answer to the test, and may set cookies or use your browser’s storage. This data serves only to protect the form against automated submissions, not audience measurement or advertising. Intuition Machines states, in its privacy policy of 7 October 2025, that it is certified under the EU-U.S. Data Privacy Framework. The details of its processing are set out in that policy.

Recipients

Your data is accessible to the people at MAJ Solutions who need to handle your request. To them are added, within the limits of their role, the site host, the mail service that routes email and, for requests sent through the form, Web3Forms and hCaptcha, described above.

No data is sold, rented or passed on for advertising purposes.

Transfers outside the European Economic Area

To be confirmed

The site host, Cloudflare, Inc., is a company established in the United States, and its network serves the pages from many countries. Processing of technical data outside the European Economic Area therefore cannot be ruled out.

Requests sent through the form pass through Web3Forms, whose servers are in the United States and whose publisher is in India, and the anti-spam check is processed by hCaptcha in the United States. Intuition Machines, the publisher of hCaptcha, states that it is certified under the EU-U.S. Data Privacy Framework. Web3Forms does not document the basis for its transfers.

The exact basis for each of those transfers, an adequacy decision or appropriate safeguards, is set out in the documents applicable to the accounts in use. It will be stated here, together with how to obtain a copy, before final go-live. We cite no mechanism we have not verified.

Retention periods

To be confirmed

Retention rules have not been settled yet, category by category:

  • enquiries that go no further;
  • exchanges that lead to an offer or a contractual relationship;
  • data kept for a legal obligation or to defend rights;
  • technical logs and security events.

They will be published here, as a period or as an understandable criterion, before final go-live. No period is put forward in the meantime: an invented value would be worse than a stated gap.

Cookies, local storage and audience measurement

To be confirmed

The site itself sets no cookie and writes nothing to your browser’s local storage. It uses no audience measurement tool. On the Contact page only, the hCaptcha anti-spam check described above may set cookies or use browser storage for that check, and for nothing else. We consider it necessary to protect the form, which is why the site asks you for no consent and shows no banner; that qualification remains to be confirmed before final go-live.

Should a tool that is not strictly necessary ever be added, it would stay switched off until you had given free, specific and informed consent, as easy to withdraw as to give. Continuing to browse would not count as consent.

Automated decisions and profiling

No decision producing legal effects or significantly affecting you is taken automatically. No profiling is carried out.

Your rights

Under the conditions set by the General Data Protection Regulation, you may request:

  • access to your data;
  • rectification of inaccurate data;
  • erasure, where the conditions are met;
  • restriction of a processing operation;
  • objection to certain processing;
  • portability, where that right applies;
  • withdrawal of consent, without affecting what was processed before the withdrawal.

These rights are not absolute. How they apply depends on the purpose, the legal basis and the obligations that sometimes require us to keep certain data.

Exercising your rights

Write to info@maj-solutions.be setting out your request. Where there is reasonable doubt about your identity, we may ask for proportionate verification, without systematically requiring a copy of an official document.

We reply within one month as a rule. Where your request is complex, that period may be extended by two months: we tell you within the first month and explain why.

Complaint to the supervisory authority

If you consider that your data is processed in breach of the applicable rules, you may lodge a complaint with the Belgian authority.

Security

MAJ Solutions and its providers apply measures appropriate to the risk, to protect data against unauthorised access, loss, alteration and disclosure. No arrangement removes risk entirely. This page does not detail the measures in place, the detail would expose what they protect.

Updates to this policy

This page is updated before, not after, any change to the site that would alter what it describes: adding a form, a measurement tool or a third-party service, changing a purpose, a legal basis, a recipient, a retention rule or a transfer. The date shown at the top is filled in by hand at each review.

Contact and legal information
